Release notes for Zoom Whiteboard

New and enhanced features

Admin features

  • Enhanced admin controls over whiteboard commenting
Admins can easily enable or disable the ability for users to add and view comments on whiteboards. By default, commenting is enabled for all users, groups and accounts. Disabling commenting prevents users from adding or editing comments on boards they own, while existing comments remain visible. The new settings allow admins to selectively control commenting as needed, improving oversight and governance. Users retain access to existing comments, but cannot edit them if commenting is disabled.
  • Temporarily override whiteboard sharing restrictions during meetings
Zoom has updated the behavior around whiteboard collaboration during meetings. If a meeting host or whiteboard editor with sharing permissions opens a whiteboard in a meeting, all participants can edit it temporarily, even if the owner's cloud sharing settings would normally restrict access. This enables real-time collaboration without overriding the owner's sharing preferences. Once the meeting ends, the normal sharing restrictions are enforced again. This balances flexibility for in-meeting collaboration with overall whiteboard security and access controls.

User features

  • Ability to convert between canvas object types
Users can convert between different canvas object types like notes, text boxes, shapes and cards. When converting an object, attributes like color, text formatting and connectors are retained. This gives users more flexibility when collaborating on canvases. For example, users can convert a text box into a sticky note if that better fits their needs. Square sticky notes can also be converted into rectangular sticky notes. Comments and annotations on objects are preserved during conversions. The key benefit is increased productivity and usability when working with canvases.
  • Open pen tool by default for new whiteboards
The pen tool now opens by default when users access an empty whiteboard. This enhancement ensures that users can easily access annotation tools without unnecessary navigation. This change applies only to new whiteboards without existing content, both in-meeting and out of meeting.
  • Extend facilitation tools to the users based on meeting roles
Previously restricted to editors and higher roles, facilitation tools such as Presentation, Timer, Laser Pointer, and All Eyes on Me are now accessible to all participants. A new customizable setting has been introduced, enabling hosts to define who can use facilitation features during the meeting. This setting is available within in-meeting whiteboard options, ensuring inclusivity and enhancing engagement across platforms.
  • Filter content within a multi-selection
Users can filter content within a multi-selection by object type, enhancing their ability to refine and analyze data more effectively. This feature empowers users to precisely refine their selections and focus on the most relevant information.
  • Add comments to objects using halo menu
Users can add comments to any object in Whiteboard using the object's halo menu. Comments can be added successively to the same object. This provides an easy way for multiple users to discuss and provide feedback on specific Whiteboard elements.
  • Display all Whiteboard product features to users
The Zoom Whiteboard interface has undergone enhancements to ensure that all product features are visible to users, regardless of their current license status. This enables users to fully explore the platform's capabilities, enhancing their comprehension of its potential and facilitating more efficient collaboration. Furthermore, features disabled by admins will not be shown, ensuring a tailored user experience.

Release notes for Zoom Workspace Reservation

New and enhanced features

Admin features

  • Configure time zone settings for rooms and workspaces
Account owners and admins can configure time zone settings for individual rooms and workspaces. Admins can tailor time zone settings to match each room and workspace's location. This provides more flexibility and accuracy for features that rely on time zone data, like neighborhoods. Users will benefit from time zone information that better reflects their actual workspace. Previously, time zone settings could only be configured at the account and floor level.
  • Delegate management in Zoom Workspace Reservation
Account owners and admins can assign delegates on behalf of users directly through the Zoom admin web portal. When a delegate is assigned, the user is notified via email. Users retain the ability to remove delegate access themselves. Admins can also batch-upload delegates via CSV.
  • Support for workspace and room questionnaires in Outlook add-in
If a reservation questionnaire is configured for the workspace, the user will be prompted to fill it out when making reservations in the Outlook add-in. If multiple workspaces are booked, the questionnaire will be shown for each one. Check-in questionnaires will also be shown at the appropriate time based on settings.

User features

  • Display all existing Zoom meetings to users when making a room reservation on the Zoom mobile app
When making room reservations, all upcoming Zoom meetings are displayed in the Zoom mobile app, not just meetings the user is hosting. This helps enable easy meeting selection when reserving a workspace. Additionally, the reservation start and end times are dynamically adjusted to match the meeting time.
