Update for Zoom Scheduler

New or enhanced feature

Host features

AI Companion integration for booking pages

  • Hosts can add AI Companion (AIC) to their Zoom meetings directly when setting up booking pages. Previously, hosts needed to navigate to separate Zoom meeting settings to enable AIC for note-taking and meeting summaries. The integration includes access to additional AIC configuration options through the Zoom meeting settings module. This streamlined approach reduces setup steps and helps remind hosts to enable meeting assistance features.

Ability to insert bookable schedule link from the compose window of Outlook

  • Hosts can access and insert their Zoom Scheduler booking links directly from the Outlook compose window through a new add-in. The add-in is available through the Microsoft Outlook app store. This integration helps hosts share their Zoom Scheduler booking links without switching away from Outlook.

User features

Support for scheduling delegate assignment

  • Users can assign delegates to manage their scheduling activities on their behalf. Delegates can create, modify, and manage booking schedules for the primary user. This feature enables collaborative scheduling management when users need assistance with their calendar coordination. The delegate assignment streamlines scheduling workflows for busy professionals who require administrative support.
Note: This feature will not be immediately available, as it is dependent on a backend release currently scheduled for December 4, 2025.

Enhancements to user onboarding experience

  • Users experience a new and improved onboarding flow that simplifies the initial setup process for Zoom Scheduler. The enhanced experience includes streamlined calendar connection steps and more intuitive booking page creation. Users receive better guidance throughout the setup process, from initial login through sharing their first booking page. The auto-generated first booking page features more relevant default content to help users understand the service capabilities. These improvements help users quickly discover value in the platform and reduce setup complexity. Note: This feature will not be immediately available, as it is dependent on a backend release currently scheduled for December 4, 2025.

Enhancements to booking page location selection experience

  • The booking page flow includes an updated location selection interface designed to improve user interaction. Users can more easily navigate and choose meeting locations through the enhanced control elements. The improved design makes the location selection process more straightforward. This enhancement creates a smoother booking experience for attendees scheduling meetings.

Customizable headers for email notifications

  • Users can apply custom branding to confirmation and reminder emails sent through Zoom Scheduler by uploading their brand logo and selecting colors and fonts for email templates. Admins have the ability to create and lock standardized branded templates across the entire organization to maintain consistent external communications. When admin templates are not locked, users retain the flexibility to customize their own email branding through the new branding tab in user settings. This feature ensures professional brand representation in all scheduler notifications sent to meeting attendees.
