Admin features

Whiteboard deletion notifications

  • Account owners and admins can enable email notifications for whiteboards that are subject to retention policies. When a whiteboard is scheduled for automatic deletion, the whiteboard owner receives an email notification on both the reminder date and the actual deletion date. The system sends individual notifications for each affected whiteboard. These notifications help owners stay informed about whiteboard retention policies and take necessary actions before content is moved to trash.

Organization name in sharing settings

  • Account owners and admins can view organization names consistently across sharing settings in the web portal. When configuring Whiteboard and Notes sharing defaults, the portal displays the organization name instead of account name in the default sharing options. This alignment with the share sheet interface helps reduce confusion when managing multiple accounts within an organization.

Enhancements to account management columns

  • Account owners and admins can view email addresses of whiteboard owners within their account. Whiteboard owner email addresses can be viewed by Admins in the admin dashboard and exported files. The system displays created and modified dates using a standardized date-time format instead of date strings. These improvements help admins identify specific whiteboard owners and track modification dates more accurately.

User features

Share sheet functionality

  • Users can now leverage a unified share sheet experience across Zoom products. The new share sheet supports adding and removing collaborators, with default editor permissions when settings allow. Users can set passwords for share links and control external sharing permissions. Document owners have additional controls to limit sharing capabilities and restrict external access.

Shape creation in flowcharts

  • Users can select different shapes when using the quick connector feature in Zoom Whiteboard. When dragging to create a connected shape, a shape selector modal appears with commonly used flowchart objects. The modal includes a button to quickly select the same shape type as previously used. Users can efficiently switch between different shapes while maintaining their workflow momentum.

Mural bulk import capabilities

  • Users can bulk import multiple Mural boards simultaneously into Zoom Whiteboard through the dashboard interface. This functionality extends the existing bulk import capabilities that were previously only available for Visio and Miro files. This bulk import process maintains the same workflow as other supported platforms, allowing users to select and import multiple Mural boards in a single operation.

Generate class diagrams

  • Users can generate and modify class diagrams directly through AI Companion in Zoom Whiteboard. The feature supports standard class diagram components and relationships, allowing users to visualize code structures and technical processes. Users can select Class from the AI entry point or generate diagrams from the AI Companion side panel. Once generated, diagrams remain editable with drag-and-drop functionality to adjust elements, connections, and properties. The ability to quickly generate and customize class diagrams helps users better understand and communicate software architecture.

Filter comments with @mention

  • Users can access a new filtering system in Zoom Whiteboard's comment panel that separates @mentioned comments from the general comment queue. This feature organizes comments into distinct sections, allowing users to easily identify and respond to discussions where they are directly tagged.

Clips feature in Whiteboard

  • Users can view and play clips directly within the Zoom Whiteboard canvas through the integrations section. The clips player is embedded in the canvas, allowing team members to watch recorded content without leaving the whiteboard. Anyone with access to the board can play clips, even when the clip object is locked. Board owners and editors can control clip permissions, including the ability to lock clip objects on the board. This feature enables asynchronous collaboration by allowing users to consume recorded explanations and walkthroughs within the whiteboard content.

Allow editors to duplicate and copy locked canvas objects

  • Editors with copy permission can duplicate and copy locked objects on the Zoom Whiteboard canvas; however, they cannot duplicate hidden locked objects.
