Admin features

Webhook notifications for file uploads

  • Account owners and admins can receive webhook notifications when files are uploaded to a Zoom Whiteboard. The webhook includes information such as the whiteboard ID, owner details, file metadata, and timestamp of the upload. For each file upload event, the webhook provides the sender's display name, email address, and file details including file ID, name, size, type, and download URL.

Webhook archive notifications

  • Account owners and admins can receive webhook notifications when a whiteboard archive file is ready for access. The webhook integration automatically sends notifications upon archive completion.

Domain allow list for collaboration

  • Account owners and admins can specify trusted domains for external collaboration in Zoom Whiteboard. This new setting allows admins to limit external collaboration to specific organizations rather than enabling it for all external accounts or none. The collaboration settings include options for restricting access to users in the same organization only, users in the same organization and specified domains, or allowing sharing with all users inside and outside the organization.

User features

User identification with profile images

  • Users can now see profile images displayed next to user names in various locations throughout Zoom Whiteboard. Profile images appear when searching for users to share a whiteboard, @mentioning users in comments, in the comment panel, in the activity log, and in the info panel.

Screen sharing settings

  • Users can now control the visibility of the annotation toolbar along with the sharing toolbar through a single setting. The updated setting "Show sharing toolbar, annotation toolbar, and meeting notifications" allows users to hide both toolbars simultaneously when disabled.

Generate whiteboard from AI Companion meeting content

  • Users can generate a whiteboard based on ongoing meeting discussions when AI Companion is enabled. A popup automatically appears while the whiteboard preloads in the background. The whiteboard content is generated using meeting data, including title, description, roster, and attachments. Any user with access to AI Companion's in-meeting features can use this functionality.

Enhancements to color selection halo menu

  • Users can now customize shapes easier with a streamlined styling experience:
  1. Simplified color selection: Fill and outline colors are now separated in the halo menu, making it faster to find and apply.
  2. Dedicated outline controls: Corner radius adjustments have moved into the outline menu for more intuitive editing.
  3. Independent opacity control: You can now adjust shape opacity separately, instead of it being tied to color.

Enhanced task cards in comments

  • Users can now see more detailed information about tasks directly in comment task cards. The enhanced cards display the task title, assignee, due date, and status, aligning with how tasks appear on the canvas. These details are cached so that anyone with access to the comments can view the task information, even if they don't have direct access to the task itself. Users with task access will see updated information when opening the board, comment panel, or clicking on a task.

Email alerts for whiteboard deletion by co-owners

  • Users receive email notifications when a co-owner moves their whiteboard to trash. The original owner receives an email alert indicating which whiteboard was deleted and by whom.

AI Companion template generation

  • Users can now generate custom whiteboard templates through AI prompts. Templates can be generated from multiple entry points including the Whiteboard AI entry point, in-meeting suggestive modal, Zoom gallery, Whiteboard dashboard, and the AI Companion side panel.

Ability to use previous meeting context with AI Companion in Whiteboard

  • Users can now turn previous meeting summaries into visual summaries in Whiteboard. This makes it easy to continue the conversation by extending meeting insights directly into a collaborative whiteboard session.
