Admin features

Data classification labels for organizational boards

• Admins can create and manage up to 30 custom data classification labels for all boards in their Zoom Whiteboard Plus organization. Each label includes a sensitivity level, color-coded badge, description, and optional link to guidelines. Board owners, co-owners, and admins with content edit permissions can apply these labels to boards through a dropdown in the board header.

User features

Quick action buttons for saved AI Companion prompts

• Users can save frequently used AI Companion prompts and attach them as quick action buttons to whiteboard frames. When creating AI Companion prompts in the assistant panel, users can select "Save as Quick Action" and provide a name for the prompt. Board owners and editors can then attach these saved prompts to specific frames through the right-click menu. Any collaborator can click the quick action button to apply the AI Companion prompt to all content within that frame.

Embed Figma links in whiteboard

• Users can copy and paste links to Figma files to automatically embed them on the Zoom Whiteboard canvas. Embedded content appears as non-editable objects that mirror the original Figma designs, enabling quick reference and discussion during collaborative sessions.

Auto-created welcome board for new users

• New users receive a pre-created "Welcome to Zoom Whiteboard" in their board list. It showcases common objects including sticky notes, connectors, shapes, images, text, and tables, and example layouts for brainstorming, diagramming, and prioritization. The board can be renamed, edited, deleted, or used for collaboration like any other board.

AI Companion feature discovery and enablement prompts

• Users can discover available AI features in Zoom Whiteboard even when AI Companion is disabled for whiteboards but enabled at the account level. When users interact with AI feature entry points, admins receive a call-to-action to enable AI Companion features for Zoom Whiteboard. Non-admin users see instructions on how to request their admin enable AI Companion features for the whiteboard functionality.

Accessibility checker for whiteboard

• Users can access a new accessibility checker through the Board menu under the Accessibility section. The accessibility checker evaluates text contrast, non-text contrast, image descriptions, and container titles for frames, tables, and kanban boards.

Ability to star accessible boards

• Users can star boards I have permission to access through link sharing, channels, projects, and other sharing methods.
